A Love Letter to Event Planning


Perspectives and Passing Years

Thirteen years ago, in the Empire State Building overlooking uptown Manhattan, I battled with a then-unfamiliar foe. An 8×8 backdrop that refused to cooperate. 

At 5’3”, the mechanics of an accordion pop-up backdrop will always work against you. One side would lift, then fall. The other would almost lock, then shift out of place. 

A short step stool was my only leverage point, dragged back and forth across the floor in a repeated rhythm of trial and error. Occasionally pausing to take in the 24-story view. Bracing occasionally has the Empire State Building lurched in the wind.  

Step up. Push one side. Step down. Run to the other side. Step up again. 

It was one of those moments where you step outside yourself and realize—if this weren’t happening to you, it would be pure comedy. Eventually, it clicked into place. The panels were up. I had built something tangible. There was no audience. No applause. Just the quiet satisfaction of knowing it was done. One item was checked off a list of at least a hundred others. We were one step closer to becoming ready to exhibit at CS Week (now IUCX). 

And without realizing it, that moment became the beginning of everything. 

Falling in Love with the Work No One Sees

Event coordination is the compilation of a thousand small tasks that culminate not in an object but in a collective experience. Much like the energy and utility sector itself, it’s work that goes largely unnoticed… unless something goes wrong. 

If you’ve done your job right, no one notices your team. You fade into the background. Which means no one sees: 

  • The stress  
  • The pivots  
  • The constant adjustments  

The speaker asks to move his session up two hours because he might miss a flight. The shipment that arrives damaged en route. The missing cables, last-minute requests, etc. The inevitable “oh crap” moments. And yet, it all still comes together. 

Behind every “easy” experience is intentionality and at least two contingency plans for anything too important to fail. 

The People Behind the Presence

Having the right team behind you is essential when your company is on display. From a single booth to a full-scale conference presence, you need more than execution; you need foresight. To have foresight, you need a team with people who:

  • Understand your brand, not just your booth

Some Things Never Change 

There are a few things in life that follow a consistent rhythm. Event coordination is one of them. It’s a rinse-and-repeat structure that’s oddly comforting: 

  • Theme & focus planning  
  • Agenda creation  
  • Speaker prep  
  • Attendee and speaker communications  
  • Logistics execution  
  • Onsite orchestration  
  • Post-event momentum  

It may seem simple, but every successful event is built on this foundation. Refine the process. Perfect it. Adapt it. And suddenly, something that once felt overwhelming becomes repeatable and effortless. 

A Full Circle Moment

Several weeks ago, The Current officially became a media partner for IUCX. Thirteen years ago, there was a step stool, a stubborn backdrop, and a search for balance. In just a few weeks, my role will look very different from its past iterations. Walking the floor, interviewing attendees, gathering insights, and understanding why people show up to an event built on someone else’s vision. 

It’s a full-circle moment. From trying to assemble a display…To help companies think strategically about how and why they show up.
